We are thrilled to have you support the 2018 ACS Conference in Pittsburgh, PA this summer! Your support plays an invaluable role in allowing us to offer an exceptional educational and networking experience to more than 1,400 Conference attendees.

Important details and deadlines related to ACS Conference sponsorship are below. Please review them carefully. We strongly encourage you to review the details within your sponsorship agreement to verify your sponsorship level and the sponsorship benefits that are available to you/your company.

Conference Venue

Unless otherwise noted in the Conference schedule, all Conference events will take place at:

  • Lodging in Pittsburgh

    Please check our website for official Conference lodging information. Our headquarters hotel is the Westin Convention Center Pittsburgh with additional rooms available at the historic Omni William Penn. Booking in official Conference hotels helps ACS avoid costly penalties, and helps us keep down registration costs through incentive discounts we pass along to attendees. Be where the action is by staying in an official ACS hotel!

    Logo & Recognition in Conference Materials – Due June 10, 2018

    All sponsors receive logo placement in Conference print and electronic materials. If ACS does not have a current logo on-file for your company, an updated logo must be submitted to [email protected] no later than June 10, 2018.

    In addition, your sponsorship package may include additional recognition in the Conference Event Guide. Please check your sponsorship agreement carefully to determine whether additional recognition is included in your sponsorship package. If so, all artwork must be submitted to [email protected] no later than June 10, 2018.

    Please note: Recognition opportunities are designed to celebrate and promote your business, your products, and your support of the cheese industry – however, they may not include offers, discounts, coupons, or subscription promotions.

    Artwork Specifications (please refer to your sponsorship agreement to verify whether/what size recognition is included in your sponsorship package):

    • Full Page Non-Bleed: 7.25” wide x 10.25” tall
    • Full Page Bleed: 8.625” wide x 11.125” tall
    • Half Page: 7.25” wide x 4.25” tall (no bleed)
    • Quarter Page: 3.75” wide x 5” tall (no bleed)

     

  • Digital File Requirements for Artwork:
    300 dpi high resolution files that meet PDF X-1A (Acrobat 6) Digital File Format requirements. Earlier version PDFs are acceptable provided they have been created by distilling a postscript file. The PDF version must be at least 1.3 (Acrobat 4). Please submit artwork as print-ready PDF files using the following guidelines:

    • Outline all fonts in your file prior to creating your PDF.
    • Convert all images and artwork to CMYK if your ad is full color (full color is preferable for all ads).
    • Embed all component files and resources (linked EPS and TIFF images).
    • Output with crop and registration marks turned on, offset to at least 12 points. Art box or bounding box must be exactly one inch larger than and set to relevant trim size.

    Important Details for Networking Salon Sponsors

  • Your Networking Salon Space
    Networking Salon Sponsors will receive a 16-foot draped tabletop space for exhibiting and sampling products. ACS will provide an easel sign identifying your Networking Salon, but you are also welcome to bring freestanding pull-up banners and custom tablecloths. The hanging of signage from the wall behind the Salon or the ceiling is not permitted. If you are sampling products, ACS will gladly supply plastic platters, napkins, basic cutting tools, and baskets of crackers upon request. Sponsors are encouraged to bring sell sheets. However, the selling of items directly from sponsor tables is prohibited.

  • Hours
    Active hours for Networking Salons are:
  • -Thursday, July 26 – 7:30 AM – 4:00 PM
    -Friday, July 27 – 7:30 AM – 4:00 PM
    -Saturday, July 28 – 8:30 AM – 4:00 PM

 

  • You may staff your table for the full duration of time, but you are not required to staff it at all times. Note that your staff are not required to register for the Conference or hold Networking Passes, if they do not plan to attend other Conference events. They can access the Supporting Trade sponsor area without a badge.

  • Staffing
    You may have up to 4 team members staffing your Networking Salon. These staff members do not need to register for the Conference; however, they will not be able to attend educational sessions, meals, or special events if they are not registered attendees.

  • Product Information Form

    You must complete a Product Information Form, linked below, for all food items that will be sent to the ACS Conference for sampling or events. Your products will not be received in Pittsburgh without a completed form.


    Shipping of Food Items

    All food items must be shipped to arrive on Friday, July 20, 2018. You must affix the shipping labels provided by ACS, downloadable below, and include a packing slip in each package.

    Shipping of Display Materials
    If you will be shipping any display materials that cannot be hand-carried by your team, please coordinate directly with Stetson, the Official Service Contractor:

    Important Details for Festival Marketplace Sponsors

  • Your Festival Marketplace Space
    You will receive an 8-foot draped tabletop for exhibiting and sampling your products at the Festival of Cheese. You are welcome to bring freestanding pull-up banners, custom tablecloths, and other signs (not to exceed 4’ in height from the surface of the table). The hanging of signage from the wall or ceiling is not permitted.

  • Event Set-Up
    You may arrive at the venue to set up your tabletop display between 2:00 PM – 5:00 PM on Saturday, July 28. Please ask for Rebecca Orozco or another ACS representative in Hall D, to be directed to your table.
  • While we encourage you to bring sell sheets, the selling of items directly from sponsor tables is prohibited.

  • Hours – Saturday, July 28, 2018
    -5:30 PM – 6:00 PM: Media Preview
    -6:00 PM – 7:00 PM: ACS Members Only
    -7:00 PM – 9:30 PM: General Admission

  • Staffing

    Important Details for Supporting Trade Sponsors

    Unless otherwise noted in your agreement, you will receive an 8′ draped tabletop space to display and promote your products and services in Pittsburgh at the David L. Lawrence Convention Center.

    If you will be shipping or delivering any display materials that cannot be hand-carried in yourself, you must coordinate directly with Stetson, the Official Service Contractor for this event:

    Stetson will be in touch with you directly in the coming weeks to provide a detailed Sponsor Kit that includes information about the size and set-up of your Supporting Trade space, as well as information about shipping, receiving, storage and movement of materials, and requests for electric and internet access.

    Security at the Center
    Note that there will be limited security at the David L. Lawrence Convention Center during evening and overnight hours. ACS is not responsible for lost or stolen items; it is the sponsor’s responsibility to secure insurance to cover any loss or damage.

  • Supporting Trade Table Guidelines
    You may display cheeses and other products made with, or to demonstrate, your equipment, but the sampling/consumption of food or beverages to attendees is prohibited at Supporting Trade tables.Sponsors are encouraged to take orders. However, the direct sale of items from sponsor tables is prohibited.

  • Check-In and Set-Up
    Sponsors may check-in and set up their tables and displays on Wednesday, July 25 between noon – 6:00 PM.

  • Supporting Trade Table Hours
    -Thursday, July 26 – 7:30 AM – 4:00 PM
    -Friday, July 27 – 7:30 AM – 4:00 PM
    -Saturday, July 28 – 8:30 AM – 4:00 PM

  • ACS Online Marketplace Listing

    If your sponsorship agreement includes a listing in the ACS Online Marketplace, you can submit your complimentary listing at https://www.cheesesociety.org/join-the-acs-marketplace. You may use this listing to promote your business, products, or services.

    Complimentary ACS Membership

    If your sponsorship agreement includes a complimentary ACS membership and you believe this benefit may not yet have been applied, please contact the ACS office at 720-328-2788 and speak with Eliza Wetherill or Heather Tucker. We will be glad to assist you!
