ADMINISTRATIVE & MARKETING ASSISTANT
The Administrative & Marketing Assistant plays a vital role in providing the support required to maintain and grow the American Cheese Society and its programs.
This full-time position reports to the Programs & Operations Director and provides general administrative support to the association’s directors and staff:
Supporting the Executive Director:
- Serve as executive assistant performing general administrative functions including scheduling, Board of Directors communications, fielding/responding to phone and email inquiries, handling general correspondence, and other office tasks
- Provide general planning support for Board and Committee meetings including distributing agendas and reminders, materials preparation, hotel, travel, catering, and meeting research and coordination
- Research, compile data, and assist in the preparation of reports
Supporting the Programs & Operations Director:
- Coordinate and maintain speaker logistics, details, and registrations
- Manage materials/mailings, process payments, ensure accuracy of submissions, and accurately enter/track data for annual Judging & Competition both in office and on-site
- Distribute agendas/reminders and maintain minutes for staff and relevant Committee meetings
- Conduct research and maintain database of potential educational topics and speakers
Supporting the Marketing & Communications Director:
- Update communication platforms including website, Facebook, and Twitter
- Coordinate and track sponsorship and donated item details including contracts, fulfillment of benefits, follow up, and relationship maintenance
- Assist with the development and delivery of marketing collateral
- Create and maintain archive of current and historic ACS photos and collateral
- Compile content for monthly CheeseBytes e-newsletter
- Distribute agendas/reminders and maintain minutes for Committee meetings
- Conduct research, write/review/edit/prepare materials, maintain project schedules
- Research and grow the ACS media contact list, monitor press coverage, and maintain an up-to-date PR tracking document
General support duties include but are not limited to:
- Organization, filing, administrative assistance, incoming/outgoing mail handling, setting up orderly systems
- Answering phones and responding to calls, emails, and other correspondence
- Organizes shipping of materials and supplies to conference site
- Processing paperwork and payments as needed
- Data entry, ordering supplies, maintaining accurate inventory, equipment upkeep, troubleshooting office systems, and handling merchandise sales, processing, and order fulfillment
- Researching and recommending products and services to enhance productivity and lower costs.
- Interacting with outside vendors and contractors as needed
- Coordinating Board, Committee, and from time to time small event/meeting logistics
- Working with staff, committees, and Conference Planner on Annual ConferenceAssists with Judging & Competition, staff office set up, registration desk and other on-site at Annual Conference
- Ability to work flexible/additional hours as needed
REQUIRED QUALIFICATIONS
SKILLS, KNOWLEDGE & ABILITIES
- Exceptional customer service, interpersonal skills, phone skills, email etiquette, and professional business demeanor
- Quick and accurate word-processing and data entry skills
- Typing speed of at least 60 wpm
- Ability to handle multiple projects and tasks simultaneously
- Effective oral and written communication skills
- Excellent organizational skills and attention to detail
- Proficient with Microsoft Office Suite including Excel, Word, and Outlook
- Strong, writing, editing, grammatical, and math skills
- Creativity and marketing savvy
- Diplomacy and comfort in interacting with all types of people
- Reliable, honest, and with a positive outlook
- Ability to maintain discretion where sensitive and confidential issues are concerned
- Ability to work under time constraint and juggle multiple tasks simultaneously in a fast-paced environment in which priorities and deadlines change frequently
- Ability to travel at least once each year to Annual Conference
- Ability to lift at least 40 lbs (for event/meeting set up and supply handling)
EDUCATION
Four-year accredited Bachelor’s degree or Associate’s degree.
EXPERIENCE
Minimum of two years administrative, data entry, and/or customer service experience.
DESIRED QUALIFICATIONS
- Non-profit, association, or foundation experience, preferably in a member-based organization
- Knowledge of association membership databases (especially Avectra’s netForum)
- Knowledge of the specialty foods market and/or interest in cheese and gourmet foods
- Marketing skills and savvy with understanding of social media
- Familiarity with Adobe Creative Suite and WordPress, and an eye for design
- Desire to be a part of a healthy organizational culture that encourages teamwork, collaboration, and growth
- A proactive problem-solver who never says “it’s not my job”
SALARY AND BENEFITS
Salary range: $27,000-30,000. Full-time, non-exempt. ACS offers competitive salary, health and dental benefits in a small, collegial office environment.
